Job Description
This Finance & Admin Executive will oversee all financial and administrative aspects of the organization in Singapore and Malaysia.
Area of focus include
Finance:
- Handling Invoices and Payments: Examine and manage invoices and payments for both Singapore and Malaysia, ensuring precise record-keeping in Xero accounting software.
- Internal Audit Procedures: Create and execute internal audit protocols to evaluate the efficiency of the organization’s internal controls, guaranteeing smooth operations and adherence to financial regulations.
- Monthly Closing and Reporting: Aid in the monthly financial closing procedure and contribute to generating precise and punctual financial reports.
- Finance Enhancement: Participate in finance enhancement initiatives aimed at enhancing and streamlining financial processes and systems.
Admin:
- Schedule Meetings and Events: Arrange and manage meetings, appointments, and company events to optimize time and resources effectively.
- Document Organization: Maintain a well-structured filing system for both physical and digital documents, ensuring easy retrieval.
- Facilitate Communication: Prepare and distribute memos, emails, and other communications to support efficient internal and external communication.
- Travel and Expense Oversight: Aid in coordinating team travel arrangements and compile expense reports for internal tracking and compliance purposes.
- Office Supplies and Equipment Maintenance: Monitor and upkeep office supplies and equipment to ensure a well-equipped and functional workspace.
Requirements for the role

- A Diploma or Bachelor’s degree in Accounting, Finance, or Administration.
- Minimum 3 years of successful work experience in financial management, accounting, administration, or related fields, agency experience is a bonus.
- Interest in digital trends, curiosity, and a willingness to take calculated risks
- Strong communication, interpersonal, and multitasking skills; ability to prioritize tasks and collaborate with cross-functional teams and stakeholders.
- Proficiency in using Xero accounting software with minimal guidance.
- Attention to detail and analytical skills for precision in financial and administrative tasks.
- Fluency in written and spoken English and Mandarin to facilitate effective communication.
